What NYL runs — and who calls us

We are the ground transportation vendor for teams that cannot afford a car that does not show up, a chauffeur who does not know the schedule, or an invoice that arrives from five different vendors after the deal closes.

Roadshow clients book us for:

IPO and secondary offering roadshows

8–14 cities, 40–60 meetings, full program management from kickoff call to final invoice.

Non-deal roadshows (NDRs)

2–5 city runs, quarterly investor meeting programs, targeted outreach tours.

Debt roadshows and capital markets events

Bank-to-bank meeting sequences, bondholder tours, lender presentations.

Investor days

Single-venue, multi-executive arrival and departure coordination at NYSE, Nasdaq, bank offices, and conference centers.

Conference ground programs

Goldman TMT, JP Morgan Healthcare, Davos, MWC, and other institutional conference attendance.

Earnings presentation tours

Post-close sell-side briefing sequences across New York, Boston, and London.

Professional chauffeur service → covers all of the above. For single-city corporate travel, airport transfers, and day-to-day executive rides, see our corporate transportation page →.

Who books NYL roadshow programs

IR and Finance teams

You are running the roadshow schedule. You are on the phone with bankers and investors. You are not calling a car service in Chicago to explain which executive is landing on which flight. Book NYL once. We handle every city. If you have a corporate travel program, we integrate directly.

Corporate travel managers

One rate card across all roadshow cities. One vendor. One invoice. We hold your traveler profiles — executive preferences, security requirements, luggage notes — across every leg of every city, every time.

Executive assistants

A dedicated WhatsApp or Signal line with your NYL coordinator for the duration of the program. Chauffeur confirmation 24 hours before every leg. Flight tracking with no manual re-confirmation from your end. When the CFO’s flight lands 40 minutes early in San Francisco, your coordinator already knows. The car is already adjusted.

What is included in every NYL roadshow program

No hidden fees. No ‘coordination charges’ after the fact. This is what you get, every program.

Named roadshow coordinator

One human, assigned to your program from kickoff to final invoice. Available by phone, WhatsApp, or Signal during all active program hours.

Per-city vehicle runsheets

NYL builds a detailed runsheet for every city: vehicle class, chauffeur name and mobile, pickup address and time, destination, transit window, entrance notes, and backup route.

Chauffeur brief packets

Every chauffeur receives a written brief before their leg. Names, titles, building instructions, schedule, and coordinator contact. No chauffeur shows up uninformed.

Real-time flight tracking

Every air leg tracked off the airline source feed. Delays and early arrivals are handled automatically. Your team is not making re-confirmation calls.

24/7 dispatch

Live dispatch desk from the first pickup to the last drop. Last-minute schedule changes, emergency substitutions, 11 p.m. re-routes — handled.

Single consolidated invoice

One document, broken out by city, date, leg, vehicle class, and executive. Concur, Navan, SAP Concur, and Egencia-compatible.

On-time guarantee: If a vehicle is more than 10 minutes late to a confirmed pickup without weather or traffic justification, we refund the difference or comp the leg.

Fleet — which vehicle for which roadshow scenario

Every vehicle is a current or recent model year, professionally detailed before each leg, stocked with water and phone chargers, and fully licensed and insured. Wi-Fi is standard on Sprinters and premium SUVs.

From first call to final invoice — how NYL manages the program

01

Discovery call (15 minutes)

Share your city list, schedule, headcount, and flight plan. NYL asks the questions that prevent problems: How tight are the meeting transitions? Does anyone require an NDA? What does billing need to look like? We do not need an RFP. We need 15 minutes.

02

Program quote and runsheet

Within 24 hours: a flat program quote for the full roadshow and a draft runsheet covering every city, every leg. Both are working documents — changes are expected and handled without restarting the process.

03

Approval and chauffeur briefs

Your team approves the runsheet. NYL briefs every chauffeur in every city 48 hours before the program launches. By the first pickup, every driver knows the names, the schedule, the building, and the coordinator’s mobile number.

04

Active program dispatch

The coordinator is live from the first pickup to the last drop. Real-time flight monitoring, same-day schedule changes, emergency vehicle substitutions, and direct contact with every chauffeur in every city — none of this reaches your desk unless a decision needs to be made.

05

Single invoice, 5 business days post-program

For corporate accounts, invoices are compatible with Concur, Navan, SAP Concur, and Egencia.

Frequently asked questions

How do I get a quote for a multi-city roadshow program?
Call (833) 567-2200, email roadshow@nylworldwide.com, or complete the form at get-a-roadshow-quote. We respond within 2 hours during business hours. Have your city list, approximate dates, headcount, and flight plan ready — the discovery call takes 15 minutes and the quote arrives within 24 hours.
Can NYL cover a roadshow that spans NYC, Boston, Chicago, London, and Frankfurt?
Yes. NYL runs direct fleet in New York and coordinates through vetted affiliates in all other cities, including London, Frankfurt, and every major U.S. roadshow market. You book once. We manage every city under one program, one coordinator, and one invoice.
What is included in the roadshow coordinator service?
A named NYL team member owns your program from the first call to the final invoice. They build and update the runsheet, brief every chauffeur, monitor every flight, manage real-time changes, and are reachable by phone, WhatsApp, or Signal throughout the full program. No call centers. No ticket queues.
How does NYL bill for multi-city roadshow programs?
One consolidated invoice, issued within 5 business days of program completion. It is broken out by city, date, leg, vehicle class, and executive — formatted for Concur, Navan, SAP Concur, and Egencia. Net-30 billing is available for established corporate accounts. For budgeting, we provide a flat program rate quote before the schedule is confirmed.
What vehicle do you recommend for a 3-person roadshow team?
For a CEO, CFO, and IRO traveling together with luggage and materials, a Cadillac Escalade ESV is the standard. If the team uses transit time for prep, calls, or debrief, the Executive Sprinter with conference table — seats 6–14, Wi-Fi, private — is the right call.
Do you track our executives’ flights in real time?
Yes. Every leg is tracked off the airline source feed. An early landing means the car is already there. A 40-minute delay means the next-city chauffeur is adjusted before your team even lands. You are not making re-confirmation calls.
Can the same chauffeur be assigned across multiple days in one city?
Yes. We hold preferred chauffeur assignments across multi-day stops in the same city wherever scheduling allows. For principals and C-suite executives, same-driver consistency is standard practice — flag it at the discovery call.
Do roadshow chauffeurs sign NDAs?
NDA-bound chauffeurs are available on request and strongly recommended for deal roadshows. Flag this requirement at the discovery call. We assign only NDA-cleared drivers to the program and hold signed agreements before the first leg departs.
How far in advance should I book roadshow transportation?
5–10 business days is ideal for a full multi-city program. 72 hours is workable for major markets (NYC, Boston, London, San Francisco). For programs including international cities or Executive Sprinters, one week gives us time to source and brief properly. Same-day and next-day bookings are available in NYC and most major U.S. markets subject to availability.
What if the schedule changes mid-program?
Schedule changes are standard, not exceptions, on active roadshows. The coordinator holds the full runsheet and adjusts in real time — pushed meetings, canceled stops, added cities, early departures. You do not re-brief anyone. The coordinator handles it and sends you an updated runsheet.
Do you have a roadshow runsheet template I can review before booking?
Yes. Download the NYL roadshow runsheet template to see exactly how your program will be structured and communicated. We share it during the discovery call as well.
Does NYL also handle single-city investor days?
Yes. Investor days require the same coordination discipline as a full roadshow — multiple executives arriving from different airports and hotels, back-to-back sessions, precise timing. We handle arrivals, departures, and between-session transfers. For single-city executive travel without a roadshow structure, see hourly as-directed chauffeur service.
